From call for papers to proceedings, one team
Conference publishing usually gets squeezed into the last weeks and split between several suppliers. In the conference publishing package one team handles everything from the website to the DOI registration of the proceedings, following the conference timetable, so that the organising committee can focus on the scientific programme.
What the package covers
Items can also be ordered separately; for most conferences we agree the scope in the first call.
- Conference website
- A Turkish and English conference site: call for papers, committees, key dates, programme, author guidelines and contact. The site stays online as an archive after the event, and later editions can continue under the same address.
- Submission and peer review
- Abstract and full-paper submission, reviewer assignment, decisions and author notifications on Open Journal Systems (OJS). Submissions and reviews stay under the organising committee's control.
- Abstract book
- An abstract book ready before or during the conference: session order, author and affiliation index, ordering that matches the programme.
- Full-text proceedings
- Typesetting of accepted papers on a shared template; Turkish and English text, tables, figures and references; page-by-page checks and proofs.
- ISBN and imprint
- Preparing the information needed for the ISBN application in the name of the publishing institution or press, and the imprint page; e-ISBN for the electronic edition.
- DOIs and Crossref
- A DOI for each paper; a conference record with the event name, dates, location and acronym. Authors' ORCID iDs and institutions' ROR IDs are verified; abstracts, keywords, licences and references are sent to Crossref.
- HTML full text and access
- An HTML version of every paper alongside the PDF, readable on phones and indexed by search engines; papers published permanently on the conference site.
Workflow along the conference timetable
Timings depend on the size of the conference; the order below fits most events.
Six months or more before
Scope and proposal; setting up the conference site and the submission system; publishing the call for papers.
Submission and review period
Receiving abstracts and full papers, running peer review, acceptance notices and sending the full-paper template to authors.
Before the conference
Preparing the programme and the abstract book; delivering the electronic and, if needed, printed abstract book.
After the conference
Collecting final papers, typesetting and proofing the proceedings, ISBN imprint, DOI registration and publishing the papers on the site.
Whose name are the ISBN and DOIs in?
The ISBN is issued to the institution or press that publishes the book. In Türkiye the sole authority is the ISBN Türkiye Agency under the Ministry of Culture and Tourism. For university conferences this is usually handled through the institution's own publishing office or library.
DOIs are registered through the publishing institution's or society's own Crossref membership, under its own prefix. Silsile carries out the registration; the DOIs and metadata always stay with the organisers. If there is no Crossref membership yet, we explain the application steps.
Frequently asked questions
Can you work on the proceedings only?
Yes. Even if the conference site and submission system are elsewhere, we can work on the abstract book only, the full-text proceedings only, or DOI registration only.
Which software runs the submission system?
PKP's open-source Open Journal Systems. Submissions, reviews and author data are kept in a system that belongs to the conference; after the event it can be kept as an archive or handed over in full.
Does every paper need its own DOI?
Crossref recommends assigning DOIs to all papers of a conference. A separate DOI makes each paper findable and citable on its own and lets authors add it to their ORCID record.
What do you recommend for recurring conferences?
Keeping the same web address and book template across editions, so earlier papers stay accessible and the conference is recognised as a series.
How is the price set?
We give a separate written proposal for each conference, quoted in EUR or USD for international events. The price depends on the number of papers, the page count of the books, the number of languages and the items chosen.
Requesting a proposal
Tell us the conference name, dates, the expected number of papers and the items you need. We will review the scope and send a written proposal and timetable.
